Documentation relating to an application to work or study at the university is subject to disclosure to the applicant should they request access under the Data Protection Act. This includes notes made by interviewers during the interview process, or by a selection panel or board, as well as any related discussion by interviewers carried out via email.

Comments made during interview should be appropriate and justifiable and relevant to the selection process. They should also be recorded in such a way as to be capable of being produced in a meaningful form for the purposes of a subject access request.

Individual members of the selection panel should not retain their notes on candidates once the formal record of the interview has been prepared by the panel’s chair.
