Accessing support and welfare services

St. George’s Counselling Service is available to provide confidential support to students who have difficult circumstances. They can be contacted via email on counselling@sgul.ac.uk

You can contact the Students’ Union Vice-President for Education and Welfare, Ms Sarah Jones, or the Education and Welfare Support Officer, Ms Lon Teija, via email on vpeducation@su.sgul.ac.uk.

All St George’s students can access an external online support service called Togetherall. This service is available 24/7 and is completely anonymous. Occupational health

The Occupational Health Department are managing a high volume of Covid-19 related queries. The University will continue to send referrals to the Occupational Health Department, clearly outlining if there any timeframes or deadlines related to the assessment. This is to assist the Occupational Health Department in their processing of appointments and to ensure urgent assessments are prioritised. Routine referral appointments are being managed flexibly. Assessments may be conducted over the phone if necessary and follow-up reviews will be scheduled as appropriate. If necessary, students should contact the Occupational Health Department directly via telephone on 020 8725 1661.

Reporting illness

Individuals should follow the instructions issued by the University to report if they are self-isolating or have received a diagnosis of Covid-19. The University’s dedicated Covid-19 Student Services Team should be contacted via email on coronavirusconcern@sgul.ac.uk

Prior to an assessment - Students should follow the usual process to report Mitigating Circumstances if they are affected by Covid-19 related illness ahead of examinations/assessments.

During or following an assessment - Students who believe their performance in an assessment had been affected should submit an appeal against their provisional results to the Board of Examiners. Further information on how to do this can be found in Paragraph 2 of the Academic Appeals Procedure. Board of Examiner dates can be accessed via the Examinations webpage.

During the current period you will NOT need to provide medical evidence for Mitigating Circumstances which relate to COVID-19. From November 2020, we will expect you to submit evidence for mitigating circumstances relating to other circumstances, including medical evidence. This will be the case for the remainder of the 2020/21 academic year or until further notice, whichever is sooner. All claims will be considered by a Panel in the usual way. Where claims are accepted: a. for coursework, you will be given a standard two-week extension; and b. for exams/timed assessments, you will be permitted to sit the exam at the next available opportunity for an uncapped mark.

 

Submission of procedural applications, evidence and receiving a response from staff

Wherever possible, communications will be electronic and via email. Students should email the address specified on the procedural applications forms or on the Student Conduct and Compliance webpages. Staff will endeavour to acknowledge receipt of student applications hours within 24 hours (Mon-Fri 9am – 5pm).

Any applications/communication sent to St. George’s, University of London by post or left on-site will not be received or accepted ‘out-of-time’.

The Student Conduct and Compliance voicemail box will not be accessed.

Procedural timescales

Whilst the Student Conduct and Compliance Team will endeavour to process your case within the timescales set out within the student procedures, it may be that some deadlines will need to be extended as a result of the changes to working arrangements. If this applies to your case, we will ensure that we communicate with you directly regarding any potential delays.

We recognise that the health of staff and students might be impacted during this time and this could lead to delays in the processing of cases. Students are asked to keep the Student Conduct and Compliance Team informed if Covid-19 will affect their ability to meet procedural deadlines.

Investigation interviews and hearings

Where meetings are required we will endeavour to organise these virtually using Microsoft Teams. Students with ongoing cases with the Student Conduct and Compliance Team should download the Microsoft Teams software which is available through your St George’s, Microsoft 365 account. If you experience any issues accessing Microsoft Teams please contact a member of Student Conduct and Compliance.

Academic panels which have staff membership only

We intend to deliver the vast majority of these via online platforms. Panels may be conducted virtually or with members joining the meeting remotely. Minutes of all Panel meetings must be kept and the minutes will record the basis on which members participated in the Panel meeting.
