What to bring to onsite Enrolment

When you enrol onsite, the university has an immigration responsibility to check that you have valid permission to study; this is a part of the enrolment process. You will not be able to fully enrol you until we have checked all the required documents and assessed your right to study. This includes students who are here as a visitor for a short amount of time, for example, medical elective students.

The Right to Study check can only be successfully completed once you’ve arrived in the UK. This is because we need to see evidence of when you entered the UK.

Please note:

· If your visa is due to expire before the end of your programme, it is your responsibility to extend your stay in the UK before your visa expires. Registration will be terminated if you cannot show that you have immigration permission to study in the UK throughout the whole period of your study.

· Maintaining your immigration status throughout your studies is your responsibility. You must also make sure that you are aware of your responsibilities both to us and UKVI. Please read our Student Visa Responsibilities Guide (PDF).

The documents you are required to bring, will depend upon the type of immigration permission you currently hold (see below). These documents will form part of your immigration file that we are required to keep for UKVI audit purposes.

Student visa

- Your current in-date passport. Please note that your passport must be the original document. We cannot accept electronic or hard copies of your passport for enrolment.

- Academic certificate/transcript – only those that are stated on your CAS Statement; you may be required to bring other qualifications as part of the admission checks.

- English language certificate such as IELTs certificate, GCSE English, etc.

- Your Entry Clearance vignette (visa sticker in your passport)

- Your Biometric Residence Permit (BRP)

OR

- If your visa was granted digitally, a share code so we can verify your immigration status online - please select 'other' as the reason when generating the share code. The code should begin with the letter ‘S’, if it does not, you will need to obtain a new code. Please email us the share code prior to your on-site enrolment.

- Proof of entry to the UK. You can evidence this by:

  • A copy of the entry stamp in your passport from the border officer.
  • A copy of your boarding pass / train or flight ticket / travel itinerary showing your date of entry into the UK. This is only acceptable if your passport was not stamped upon entry to the UK, for e.g. if you entered via the e-Gates (see below). Please email us the digital copy of this evidence prior to your on-site enrolment if possible.

- Your UKVI decision letter/email confirming your Student visa has been granted. This should include confirmation of the valid from and to dates of your permission.

- Parents’ consent letter if you are under 18 on the date of enrolment.

Students who enter the UK via the e-Gates

The following nationalities are usually able to use the UK/EEA immigration lanes and the automatic ePassport gates at the UK border:

  • Australia
  • Canada
  • Japan
  • New Zealand
  • Singapore
  • South Korea
  • USA
  • EU/EEA and Swiss nationals

Provided you enter the UK when your Student visa is valid, your visa will be activated by going through the e-Gates or speaking to a Border Force Officer.

If you enter the UK before the start date of Student visa, you will only be entering the UK as a tourist and you will be unable to enrol for your programme. You will need to leave and re-enter the UK on your Student visa after its start date to activate it. It is not possible to automatically switch from being a visitor to a Student visa without leaving the UK. You do not need to travel home to do this, you can travel to Europe (but not the Republic of Ireland).

Students with a Student visa application in process in the UK

· Your current in-date passport. Please note that your passport must be the original document. We cannot accept electronic or hard copies of your passport for enrolment.

· Your previous visa i.e. BRP or Digital/E- Visa. (Please be aware an Entry Clearance vignette is not an actual visa.)

· Evidence that you have made an application for a Student visa sponsored by the university. For example, we can accept a copy of your Student visa Application cover sheet confirming a submitted application and fee payment to UKVI.

Important to know:

· Once you've received a copy of your new visa, you must email a scanned copy of it to student.immigration@sgul.ac.uk. If your visa was granted digitally, you must email us a share code so we can verify your immigration status online - please select 'other' as the reason when generating the share code. The code should begin with the letter ‘S’, if it does not, you will need to obtain a new one.

· If you're currently in the UK holding a Graduate Route visa, you'll need to have received your new Student visa to be eligible to enrol.

If you have just completed a previous programme at this university, you can enrol temporarily for your new programme using the visa you hold for your previous programme, but you will need to apply to extend your stay in the UK within 6 weeks of enrolling for your new programme or before the end date of your current visa, whichever is sooner. You must provide us with evidence of your new application.

Student with other visa types

Visas, including, BNO visa, PBS Dependant visa, Youth Mobility Visa, and Ancestry visa.

· Your current in-date passport. Please note that your passport must be the original document. We cannot accept electronic or hard copies of your passport for enrolment.

· Your Entry Clearance vignette (visa sticker in your passport)

· Your Biometric Residence Permit (BRP)

OR

· If your visa was granted digitally, a share code so we can verify your immigration status online - please select 'other' as the reason when generating the share code. The code should begin with the letter ‘S’, if it does not, you will need to obtain a new code. Please email us the share code prior to your on-site enrolment.

Students with Pre-Settled/Settled Status

If you hold Pre-Settled/Settled Status, you will need to provide the following documents for the Right to Study check:

· Your current in-date passport. Please note that your passport must be original document. We cannot accept electronic or hard copies of your passport for enrolment.

· A share code so we can verify your immigration status online -please select 'other' as the reason when generating the share code. The code should begin with the letter ‘S’, if it does not, you will need to obtain a new one.

*Share codes are only valid for 90 days, so if you have obtained one more than 90 days ago, you will need to request a new one.

Students with visitor visa – for short courses (including medical electives) or those delivered via distance learning

All non-British/Irish nationals who are travelling to the UK for courses that are less than 6 months in length, will enter the UK under the visitor route (Standard Visitor Visa). You will also need to complete the Right to Study check. This includes checking your date of entry to the UK.

There are 4 different ways you can enter the UK as a visitor, depending on your nationality. How you enter will determine what evidence we need from you.

You obtained a visa before travelling to the UK and this was stamped on arrival by a border officer

If you are from a country that is on the Visa National List, you need to apply and be granted a visa prior to travelling to the UK as a visitor. Your Visitor Visa will be in the form of a vignette in your passport and you must provide the following documents for the Right to Study check:

  • Your current in-date passport. Please note that your passport must be original document. We cannot accept electronic or hard copies of your passport for enrolment.
  • Your visa vignette (visa sticker in your passport)
  • Proof of entry to the UK – a copy of the entry stamp in your passport from the border officer
You were not required to obtain a visa before travelling to the UK, but your passport was stamped on arrival by a border officer

If you do not need to apply and obtain a visa before coming to the UK for up to 6 months (i.e. you are from a country that is not on the Visa National List), but you need to see the border officer when you arrive, you must provide the following documents for the Right to Study check:

  • Your current in-date passport. Please note that your passport must be original document. We cannot accept electronic or hard copies of your passport for enrolment.
  • Proof of entry to the UK – a copy of the entry stamp in your passport from the border officer.
You entered the UK through the e-gates and were not required to apply for a visa before travelling to the UK

For those coming to the UK for up to 6 months, who don't need to apply for a visa in advance of coming to the UK and are eligible to use the e-gates, you're still entering the UK under the 'visitor route'. This means that when you pass through the e-gates, you're entering the UK on the Standard Visitor Visa. You won't have a stamp or a visa in your passport.

If this applies to you, you will need to provide the following documents for the Right to Study check:

  • Your current in-date passport. Please note that your passport must be original document. We cannot accept electronic or hard copies of your passport for enrolment.
  • Proof of entry to the UK - you can provide a copy of your flight ticket/boarding pass/Eurostar ticket, to evidence the date that you entered the UK.
An Electronic Travel Authorisation (ETA)

If you applied and were granted the Electronic Travel Authorisation (ETA), you'll need to provide the following documents for the Right to Study check:

  • Your current in-date passport. Please note that your passport must be original document. We cannot accept electronic or hard copies of your passport for enrolment.
  • Proof of entry to the UK – a copy of the entry stamp in your passport from the border officer.
