You can upload and host almost any file in the CMS, and set permissions for who should be allowed to access it. Each team will already have a documents and an images folder in the CMS.
Note: to avoid duplication, you should always check that your document or a previous version of it is not already in the CMS. You should always aim to update an existing document, rather than upload a new one.

Updating, uploading and deleting items

Use this process for updating an existing document on the website.
As the CMS uses dynamic links for documents, images and files, this process will make sure all links throughout the site are updated at the same time. It will also help prevent breaking links in our course pages, and news and events items, as well as other places, such as publications or other websites.

Open your section’s documents folder.

Click on the item you need to update, then Edit.

Click Choose File, then select the new version of the document from your computer.
Note: the new version has to be the same file type as the existing version.

Click Save, then select Submit & Approve from the Workflow dropdown.
Note: before uploading new items, you will first have to check that the folder has been set up to contain certain file types. For full instructions, see the Creating and Managing Folders page.

Click on the folder and select New Content.

Drag and drop the file from your computer into the Drag & Drop area, or use the Select Files button. You can upload multiple items at the same time.

Once the green tick appears next to your items, click the edit button to provide a file name and alt text.
Note: all images require alt text to meet our accessibility requirements. To help maintain tidy resource folders in your section of the CMS, make sure your document is named clearly and doesn’t contain unnecessary dates or punctuation.

Click Save and submit.
We would advise against deleting items from the CMS. Instead, use the archive function, which allows you to restore an archived item at a later date.

Click on the item, then click Archive.

If the item has been linked to from elsewhere on the site, the system will give you a warning message and block you from archiving the item. Click the View pages/templates button to see which pages are linking here.
